The Blueprint — Strategic Design & Budgeting

We translate your discovery insights into a comprehensive event blueprint: venue shortlisting scored against 14 criteria, a living budget model with built-in contingency layers, and a vendor evaluation matrix that removes guesswork. You receive a single document that becomes your event's source of truth.

Week 5–8

The Build — Vendor Orchestration & Logistics

This is where most planners start. We've already done six weeks of foundational work. Now we negotiate contracts, coordinate catering trials, lock in AV specifications, choreograph load-in schedules, and build redundancy into every critical path. Week 8–10

The Rehearsal — Simulation & Stress Testing

We run your event before it runs. Full timeline walkthroughs, staff briefings with scenario cards, contingency drills for weather, tech failure, and crowd flow. We test registration systems under load. We walk the venue at the exact time your guests will arrive, checking sight lines, acoustics, and wayfinding. Questions We Hear Often

Ideally, 10 to 14 weeks before your event date. This gives adequate time for discovery, blueprint development, and vendor orchestration. For large-scale events (500+ attendees), we recommend 16 to 20 weeks. We have taken on shorter timelines when the scope allows it, but we'll be honest if the window is too tight to deliver at our standard.
Yes. Our hybrid event framework integrates streaming platforms, remote attendee engagement tools, and dual-audience experience design. We partner with two dedicated AV production teams for the technical layer, while we manage the strategic and experiential coordination.
We use a transparent fee model: a fixed consultancy fee based on scope, plus a management percentage on vendor spend for Managed and Full Trust engagements. Advisory engagements are flat-fee. We provide a detailed cost breakdown before any commitment, and we never take undisclosed vendor commissions.
Absolutely. If you have established relationships with caterers, florists, AV providers, or venues, we integrate them into our coordination framework. We evaluate all vendors against the same quality criteria, but we respect existing partnerships and only recommend changes when we see a genuine gap.
